How to fill in a sponsorship invoice
Bill the deal the brand agreed to, in the words it agreed to. The line names the slot, the newsletter and the issues, so the brand's finance team can match it to the order without writing back. Put the send dates on the line once they are set. The due line follows the payment term: paid before the first send, a deposit to book with the balance before the first send, or after each send with 15 days to pay. Holding the dates until the invoice is paid is the term the proposal template and the agreement template on this site print too.
Send it to the person who agreed to the deal and ask who pays invoices. At a larger brand that is often someone in finance, who needs the invoice number and the brand's legal name to pay it. Keep the report promise on the invoice short: the numbers the sponsor gets and when.
Where the price comes from
The suggested price is the middle of what newsletters your size ask. It comes from 364 newsletters that print a main-slot price for one issue and their list size, read from their advertise pages on October 25, 2026. For 12,000 subscribers that is $350 for the main slot, with the middle half at $225 to $625. A secondary slot is priced at $200 and a classified at $150, from newsletters that list those next to their main slot. Type your own price and the invoice uses it. The calculator turns the same prices into monthly revenue.
Questions
What goes on a newsletter sponsorship invoice?
An invoice number, the invoice date and the due date. Then who it is from and who pays it, and the placement as a line: the slot, the newsletter, the number of issues and the send dates. Last come the price per issue, the total, how to pay, and the payment terms. The template above has each part, with the parts only you know in brackets.
When should I send the invoice?
When the brand has agreed to the dates and the price. If the sponsor pays before the first send, send it the same day and hold the dates once it is paid. If it pays half to book, send the deposit invoice then and the balance invoice before the first send. If it pays after each send, invoice each issue once it has gone out; the invoice can go with that issue's report.
How much should I invoice per issue?
It depends most on list size. In 364 newsletters that print a main-slot price and their list size (read October 25, 2026), a newsletter with 12,000 subscribers asks about $350 for the main slot of one issue. The middle half asks $225 to $625. The rates page has the figures by list size.
What payment terms should a newsletter use?
Payment before the first send is the simplest for a small newsletter: nothing to chase after the ad runs, and the dates are held once it is paid. For a long run of issues, half to book and half before the first send splits the risk. If a brand's finance team only pays after delivery, invoice after each send and ask for payment within 15 days.
Should the invoice match the sponsorship agreement?
Yes. Bill the same slot, number of issues, price and payment term the agreement states, so nobody has to ask which one is right. The sponsorship agreement template on this site uses the same fields and the same price.
What invoice number should I use?
Any number you never reuse. A year and a count, such as 2026-001, 2026-002, keeps them in order and makes a missing one easy to spot.
Do I charge tax on a newsletter ad?
It depends on where you and the sponsor are based, so the template leaves a tax line for you to fill in or delete. This is not tax advice; ask an accountant where you are.
